We are seeking a highly organized, detail-oriented, and proactive Bookkeeper / Financial Assistant to join our growing team. This position plays a critical role in maintaining accurate financial records, supporting daily financial operations, and providing valuable insights that contribute to informed business decisions.
Key Responsibilities
- Record daily financial transactions and maintain accurate bookkeeping records.
- Manage and update general ledger accounts.
- Reconcile bank accounts, credit cards, and financial statements on a regular basis.
- Monitor debit and credit card transactions to ensure accuracy and proper documentation.
- Oversee cash management processes, including monitoring cash flow, tracking inflows and outflows, and maintaining effective cash controls.
- Track, reconcile, and report insurance-related income, where applicable.
- Manage accounts payable and accounts receivable functions.
- Process invoices, vendor payments, employee reimbursements, and expense reports.
- Prepare and maintain monthly, quarterly, and annual financial reports.
- Assist with budgeting, forecasting, and financial planning activities.
- Maintain a documented budget breakdown by category (including marketing, payroll, sundries, laboratory expenses, utilities, loans, and other operating costs) and participate in monthly financial reviews.
- Verify and monitor new-patient revenue contributions, ensuring accurate reporting and analysis.
- Investigate, resolve, and report any financial discrepancies, irregularities, or variances.
- Ensure compliance with internal financial policies, procedures, and applicable regulations.
- Prepare financial documentation for audits and collaborate with external accountants, auditors, and financial advisors as needed.
- Maintain organized, accurate, and confidential financial records.
- Support payroll processing and related administrative tasks, where applicable.
Requirements
- Minimum of 3 years of proven experience as a Bookkeeper, Financial Assistant, or in a similar accounting role.
- Fluent English communication skills (mandatory).
- Strong understanding of bookkeeping and fundamental accounting principles.
- Proficiency with accounting software (such as QuickBooks) and advanced Microsoft Excel skills.
- Exceptional attention to detail and a high degree of accuracy.
- Strong organizational, analytical, and time-management abilities.
- Ability to manage confidential information with professionalism and integrity.
Nice to Have
- Experience working with service-based businesses and/or e-commerce companies.
- Experience with financial automation tools, system integrations, and process improvements.
- Previous bookkeeping experience supporting Canadian companies.
