Position Title: Scheduler / Customer Service

Position Summary
The Scheduler is responsible for coordinating client appointments, maintaining accurate scheduling records, and ensuring seamless communication between clients, cleaners, and the sales team. This role requires strong organizational discipline, attention to detail, and proactive problem-solving to maintain operational continuity. The Scheduler will also be cross-trained in Customer Service functions to provide backup support when needed.
Key Responsibilities
Scheduling & Client Setup
Create and maintain new client profiles in company software.
Create client job records, including initial visits and recurring service frequency.
Verify that all customer information and system links are correctly completed.
Monitor new client intake and complete system setup promptly.
Create one-time job records for existing recurring clients when applicable.
Acquire company service zoning knowledge to support in the scheduling logistics and ensure logistics logic is applied when working on daily schedule routine.
Schedule Management & Coordination
Maintain and update client scheduling.
Adjust schedules to accommodate time-off requests, last-minute client cancellations, or employee absences.
Analyze weekly schedule capacity and communicate availability to Sales for quoting and lead management.
Perform weekly planning for recurring monthly clients.
Client Communication
Confirm service setup and initial visit details with new clients.
Send visit confirmation messages for upcoming appointments.
Communicate scheduling changes to clients and staff when necessary.
Monitoring & Change Management
Review communications for cancellations or change requests, including:
Monday morning review of weekend change requests
Phone and Text messages from clients
Staff change in schedule
Reassign or fill canceled appointments when possible.
Update scheduling records accordingly.
Reporting
Prepare and present a weekly scheduling report for operational meetings.
Review upcoming monthly cleanings to ensure readiness.
Create and provide any pertinent reports.
System & Process Maintenance
Maintain accurate records in company software and scheduling tools.
Ensure scheduling data integrity and operational transparency.
Customer Service Backup Responsibilities (Cross-Training)
Provide support for incoming client communications during peak periods or staff absence.
Assist with appointment inquiries, changes, and confirmations.
Maintain professional and solution-focused client interactions.
Escalate issues appropriately while preserving service continuity.
Required Skills & Qualifications
Experience with US House Cleaning Scheduling
Strong English skills required
Strong organizational and time-management skills.
Ability to process critical thinking
High attention to detail and data accuracy.
Ability to manage multiple priorities in a fast-paced environment.
Fluent English (conversational and written)
Professional written and verbal communication skills.
Problem-solving mindset with adaptability to last-minute changes.
Comfort working with scheduling and CRM systems
Customer-focused attitude and teamwork orientation.
Preferred Qualifications
Familiarity with CRM/scheduling platforms
Background in service-based business operations.
Spanish is a plus
