The Contract Administrator position sits within SITA’s Standard Orders Team and reports to the Team Lead within the Americas Business Development group. The role supports SITA customers throughout North, Central, and South America, working closely with Sales and Operations on requests related to existing contracts.
You’ll play a vital role in supporting colleagues by ensuring all customer change requests are handled in accordance with requirements, contract terms, and the latest corporate guidelines. Your main responsibility will be overseeing the entire change request lifecycle—from preparing price quotes and change orders to obtaining purchase orders and facilitating billing. While it’s not primarily a customer-facing position, you may occasionally participate in calls to discuss specific details with customers.

Coordinate with various stakeholders and manage all administrative activities involved in contract change requests, ensuring each step is completed accurately and on schedule, complying with contracts and corporate standards.

Simultaneously, manage multiple requests, performing the necessary actions at each stage.

Perform various financial and administrative tasks, beginning with understanding the customer needs from the received request, reviewing contract terms and conditions, and requesting cost input from internal teams and quotes from suppliers.

Accurately gather all costs and generate a price quote and/or a change request with tailored assumptions, terms & conditions, following the business approval process.

Track progress of each request, provide regular updates to SITA managers and stakeholders, and escalate issues when necessary to ensure timely resolution.

Perform daily administrative tasks according to Standard Orders Team workflow, including prompt reporting to stakeholders, end-users, and processing billing submissions.

Prepare reports, assist with presentations related to change requests, and distribute documents to appropriate parties.

Support the resolution of any issues related to the change request process.
Qualifications:

Technical, Associate, College, or University degree—or equivalent professional experience—in Business Administration, Accounting, Finance, Economics, Computer Science, IT, Telecommunications, or Engineering.

Minimum 2-4 years of experience in administrative tasks in finance, billing, contract management, compliance, pricing, proposals, or project management.

Fluency in English, with strong abilities in conversations, meetings, emails, and document editing.

Comfort with process-oriented environments, following rules, guidelines, and procedures.

Intermediate experience with Microsoft Outlook, Word, and Excel.

Ability to collaborate with colleagues from different teams and suppliers, and commitment to teamwork, results, and thriving in a dynamic corporate environment.

Basic knowledge of Spanish is a plus.

Familiarity with PowerPoint, Power BI, Salesforce, and AI/Copilot is a plus.
