We're looking for a highly organized, proactive Executive Virtual Assistant to
become an essential part of our daily operations.
This is not a basic administrative role. We're looking for someone who enjoys solving problems, communicating professionally, leveraging AI to improve efficiency, and supporting a fast-paced executive team.

Responsibilities
Executive & Administrative Support
- Manage and maintain executive email inboxes professionally
- Create, write, and send daily client communications and follow-up emails
- Develop engaging email subject lines and messaging
- Schedule, book, confirm, and reschedule meetings with clients and prospects
- Coordinate calendars and ensure appointments are properly managed
Sales & CRM Operations
- Manage post-consultation follow-up processes
- Maintain CRM records, pipelines, tags, and workflows in GoHighLevel (GHL)
- Ensure client information is accurate and up to date
- Track follow-up activities and help keep the sales pipeline organized
- Support internal operational workflows and recurring processes
Client Communication
Communicate professionally with clients via email and virtual meetings
Join Zoom meetings when needed
Represent the company professionally on camera
Respond promptly and appropriately to client inquiries
AI & Productivity
Utilize AI tools (such as ChatGPT, Gemini and other AI assistants) to improve productivity
Assist with drafting emails, organizing information, documenting SOPs, and
streamlining workflows
Continuously look for ways to improve efficiency and processes
Qualifications Required
- Previous experience as a Virtual Assistant or Executive Assistant
- Excellent written and spoken English (professional level)
- Strong grammar, spelling, and communication skills
- Experience managing calendars and executive inboxes
- Comfortable speaking with clients and appearing on video calls
- Experience using CRM systems (GoHighLevel experience is a plus)
- Highly organized with exceptional attention to detail
- Able to prioritize multiple tasks without constant supervision
- Self-motivated, dependable, and proactive
- Stable high-speed internet connection
- Quiet, professional work environment
Preferred
- Experience supporting sales or marketing teams
- Familiarity with AI tools such as ChatGPT
- Experience creating professional email communications
- Experience documenting or improving business processes

Compensation & Benefits
$900–$1,100 USD per month (based on experience)
- Full-Time, Remote Position
Monday–Friday Schedule
Weekends Off
