Job Summary
The Administrative Specialist is responsible for supporting the day-to-day administrative operations of the organization and ensuring an efficient workplace environment. This role manages travel arrangements, procurement, expense reporting, fixed assets, office facilities, employee activities, and regional administrative support while collaborating closely with internal stakeholders and external vendors to deliver high-quality administrative services.
Responsibilities
- Visitor Reception & Meeting Support
- Welcome visitors and provide reception services.
- Coordinate meeting logistics and provide administrative support for internal and external meetings.
- Travel Management
- Arrange business travel, including flights and hotel bookings.
- Support employees with visa applications and travel-related requirements across LATAM.
- Procurement & Expense Management
- Source suppliers and manage vendor relationships.
- Purchase office supplies, festival gifts, and other administrative materials.
- Monitor inventory and process payments.
- Prepare and maintain expense reports.
- Fixed Asset Management
- Manage the full lifecycle of company assets, including receipt, allocation, transfer, reuse, resale, disposal, and inventory audits.
- Employee Activities & Events
- Organize employee engagement initiatives, including quarterly events, birthday celebrations, and association activities.
- Office Space Management
- Oversee office facilities throughout their lifecycle, including lease administration, office relocation, and daily maintenance and optimization of the workplace environment.
- Courier & Logistics Support
- Coordinate shipment arrangements and ensure timely payment of courier-related invoices.
- Regional Administrative Support
- Provide support for regional administrative matters and projects as required.
- Other Duties
- Perform additional administrative responsibilities assigned by management.
Educational and Skill Requirements
- Bachelor's degree in Administration, Business Administration, or a related field.
- Proven experience in administrative operations, with hands-on responsibility for at least two core administrative functions.
- Advanced proficiency in Microsoft Office Suite (Word, Excel, and PowerPoint); basic graphic design skills are an advantage.
- Fluent in English and Portuguese, with strong verbal and written communication skills.
- Excellent interpersonal skills and the ability to collaborate effectively across departments.
- Strong execution capability, attention to detail, and a high sense of accountability.
- Service-oriented mindset with a proactive and reliable approach to work.
- Ability to work effectively under pressure and manage multiple priorities.
- Experience in the technology or internet industry is preferred.
